Check in / Check out

Sophia Hotel Kyiv is open for you 24/7.

When checking in, the guest must provide any supporting documents (passport, driver’s license, international passport) to the hotel administration.

Accommodation of persons under the age of 18 is possible only if accompanied by an adult and with appropriate documents. Children under 5 years old stay in the room with their parents free of charge.

A baby cot for children under 5 years old is free of charge. An extra bed is not provided.

– Check-in time: from 14-00 local time.

– Check-out time: until 12-00 local time.

Extension of stay or early departure is agreed with the administrator.

The guest must make a full payment for the consumed goods and services at the hotel reception.

– Early check-in from 06:00 to 14:00 is charged additionally 50% of the daily rate.

– Late check-out after 12:00 and before 18:00 is paid additionally 50% of the daily rate. Late check-out after 18:00 is charged 100% of the daily rate.

The service is subject to availability. The cost of the Early Check-In and Late Check-Out depends on the room category in which the guest is staying.

Payment terms and booking conditions

Reservations are provided online, by e-mail and by phone.

When making a reservation through the website, the guest enters a direct contractual relationship with the hotel.

Payment for accommodation and additional services is made in cash or by bank transfer, in accordance with the price list in national currency. The rates for accommodation are indicated in national currency per room. A tourist tax is charged upon check-in (in accordance with Article 268 of Section XII of the Tax Code of Ukraine). Payment for accommodation is made upon check-in.

The hotel reserves the right to make changes to the rates and prices.

Changing reservation dates is possible only with the consent of the hotel administration and is carried out no later than 1 (one) day before the guest’s arrival.

Pet policy

Pets are allowed upon prior request.

Pets are allowed in the hotel in the amount of no more than one per room, weighing no more than 20 kg. Walking pets on the hotel premises and lawns is strictly prohibited.

Pet fee is charged in the amount of 1000 UAH regardless of the length of stay.

Smoking

Smoking inside the hotel and in your room is strictly prohibited, except the designated areas where smoking is allowed. In case of violation of this rule, a smoking fee of 4000 UAH will be charged. For systematic violation of this rule, the hotel administration has the right to evic the guest from the hotel without a refund.

Safety

The guest is prohibited from bringing and storing flammable items or dangerous materials in the hotel or premises. The hotel is not held accountable for personal items, money, currency, jewelry and other valuable things that were not placed in the safe for storage.

In case of forgotten items left by a guest, the hotel immediately notifies the owner, if known. Forgotten items are stored at the hotel for 6 months. After this period, if the owner has not been identified, the hotel has the right to utilize them, issuing a relevant act.

Guests are prohibited from:

• Leaving third parties in the room without registration and prior notification to the hotel administrator during their absence.
• Disturbing other guests with loud noises
• Carrying any type of civilian, service, or military weapons openly, as well as special equipment, even if performing their official duties.
• Passing the room key to other individuals.

If a guest repeatedly violates the hotel rules and does not respond to the hotel administration’s remarks, which leads to damages or creates inconveniences for other guests, the hotel administration has the right to refuse accommodation or terminate the stay of that guest (i.e., eviction).

Accommodation is refused to guests who are in a state of alcohol or drug intoxication.

Hotel Property Use

Guests must treat the hotel property with care, use it for its intended purpose, and follow fire safety requirements. In case of the property damage, technical malfunctions or emergency situations (such as flooding, fire, broken glass, etc.), the administrator must be immediately notified.

Guests are prohibited from:

• Damaging hotel property (electrical appliances, furniture, bedding, textiles, towels, bathrobes, minibar products, and other items that are part of the room’s equipment);
• Taking hotel property (bedding, textiles, towels, bathrobes, cosmetics, dishes, minibar products, and other items that are part of the room’s equipment);
• Throwing leftovers and other waste down the drain.
• Moving furniture without prior approval from the hotel administration.

In case of loss or damage to hotel property, the guest shall compensate for the damages according to the “Price List for Lost or Damaged Hotel Property.” The guest is also responsible for any damage caused to hotel property by their family members and visitors.

Confidentiality

The hotel adheres to confidentiality rules. Upon check-in the hotel may request personal data from guests, which includes: last name, first name, contact information, date of birth, check-in and check-out dates. Personal data may be used for the hotel booking. The guest’s personal data may also be used to improve the quality of services at the hotel and for conducting marketing research. Information may be provided to third parties in exceptional cases regulated by the current legislation of Ukraine and only with the guest’s consent or by court order.
